SpeakPen ("we", "our", or "us") is operated by Qumge. This Privacy Policy explains how we collect, use, and protect your information when you use the SpeakPen application and website (collectively, the "Service").

1. Information We Collect

Account Information

When you create an account, we collect your email address and password. If you sign in with Google, we receive your name and email from your Google account. If you don't give us a name, we show the part of your email address before the "@" in its place.

Audio & Recordings

When you record audio or import audio files, we process this data to provide transcription and summarization. Audio files are transmitted to our servers for processing and stored securely.

Usage Data

We collect basic usage data such as the number of recordings, timestamps, and device type to improve our Service and enforce usage limits.

Server Logs

When your app or browser talks to our servers, the servers automatically record technical log data: your IP address, the time of the request, the page or API address requested, and the browser or app version. We use these logs to keep the Service running, investigate errors, and prevent abuse. Logs are kept for a limited period and are not used for advertising.

Payment Information

Subscription payments are processed through Apple App Store, Google Play, or third-party payment providers. We do not store your credit card numbers or bank account details.

2. How We Use Your Information

To provide, maintain, and improve the Service
To transcribe and summarize your audio recordings using AI
To manage your account and subscriptions
To send important service notifications (e.g., password resets, welcome emails)
To enforce our Terms of Service and usage limits

Sharing a note

You can create a public link to a single note. Anyone who has the link can read that note without signing in. The link is created only when you choose to share, and you can revoke it at any time (unshare), after which it stops working.

3. Third-Party Services

We use the following third-party services to operate SpeakPen:

AssemblyAI — for audio transcription
DeepSeek — to punctuate transcripts and write titles, summaries and categories, and for the AI features you trigger (rewriting, action items, asking your notes)
Render — for hosting our servers and their logs
Cloudflare R2 — for secure audio file storage
Resend — for transactional emails
Google Sign-In — for authentication (if you choose to sign in with Google)

These services process data on our behalf and are bound by their own privacy policies.

4. Connected AI Assistants

You can connect AI assistants such as ChatGPT, Claude, Claude Code, Codex or Cursor to SpeakPen. An assistant gets access only after you approve it on a SpeakPen consent screen (or paste an API token you generated into it).

Access is read-only: a connected assistant can search and read the titles, summaries and transcripts of your completed notes. It cannot create, change or delete notes, and it never receives your audio recordings.
What the assistant does with the notes it reads is governed by that assistant provider's own terms and privacy policy.
You can disconnect an assistant at any time in Settings → Connections (under connected apps), or revoke an API token there. Access stops immediately.

5. Data Storage & Security

Your data is stored on secure servers with encryption in transit (TLS) and at rest. We implement industry-standard security measures to protect your information. However, no method of transmission or storage is 100% secure.

6. Data Retention

We retain your account data and recordings for as long as your account is active. If you delete your account, we will mark it for deletion and remove your data within 30 days. You can delete individual recordings at any time.

8. Children's Privacy

SpeakPen is not intended for children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal data, please contact us.

9. Cookies

We use essential cookies to maintain your session and language preferences. We do not use tracking cookies or third-party advertising cookies.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by posting the new policy on this page and updating the "Last updated" date.
